What are the fees associated with different farmers market payment solutions?
Farmers market vendors may pay transaction fees, fixed per-sale fees, monthly software charges, hardware costs, transfer fees, chargeback fees, and event-related costs.
The main published payment fees are:
| Payment solution | Published in-person or relevant fee | Monthly software cost | Important context |
|---|---|---|---|
| Cash | No payment-processing fee | None | Requires change, handling, reconciliation, and secure storage |
| CrumbCoach | 5% + $0.55 total per order | $0 | Card processing included; vendor can pass or absorb the total fee |
| Square Free | 2.6% + $0.15 | $0 per location | Standard tap, dip, or swipe rate |
| PayPal POS | 2.29% + $0.09 | $0 | Published card-present and PayPal POS QR rate |
| Venmo Business QR or direct payment | 1.9% + $0.10 | $0 | Requires a business profile; not a full product-level POS |
| Venmo Tap to Pay | 2.9% + $0.09 | $0 | Different rate from direct Venmo payments |
| Shopify Basic POS | 2.6% + $0.10 | From $29 per month billed yearly | POS Lite is included with an eligible paid Shopify plan |
| MarketLink SNAP/EBT | $0 SNAP processing fee | Eligibility-dependent | Authorization, program requirements, and equipment rules apply |
These are published U.S. rates as of August 20, 2026. Other fees, plans, hardware, eligibility requirements, and transaction types may apply.
How payment-processing fees work
A typical payment fee has two parts: a percentage fee, calculated from the sale amount, and a fixed fee, charged once per transaction. A subscription is a recurring software charge independent of transaction volume. Hardware costs are one-time or financed costs for readers, terminals, stands, or accessories.
Use this formula:
Transaction fee = order total × percentage rate + fixed fee
For a $20 Square Free in-person payment:
$20 × 2.6% + $0.15 = $0.67
The vendor keeps $19.33 before considering product costs, stall fees, taxes, labor, or other expenses. Fixed fees matter more on small orders: $0.15 consumes a larger share of an $8 sale than a $50 sale.
Farmers market payment fees at common order values
These examples use the standard published rates and assume the vendor absorbs the fee.
| Payment solution | Fee on $8 sale | Fee on $20 sale | Fee on $50 sale |
|---|---|---|---|
| CrumbCoach | $0.95 | $1.55 | $3.05 |
| Square Free | $0.36 | $0.67 | $1.45 |
| PayPal POS card-present | $0.27 | $0.55 | $1.24 |
| Venmo Business direct or QR payment | $0.25 | $0.48 | $1.05 |
| Venmo Tap to Pay | $0.32 | $0.67 | $1.54 |
| Shopify Basic POS | $0.31 | $0.62 | $1.40 |
Calculations are rounded to the nearest cent. Shopify's figures do not include its required plan. Hardware, instant-transfer charges, chargebacks, refunds, optional software, taxes, and other expenses are excluded. CrumbCoach's figures are the complete 5% + $0.55 transaction fee; do not add a second card-processing fee.
CrumbCoach fees
CrumbCoach pricing publishes a total fee of 5% + $0.55 per paid order, with no subscription or monthly fee. Card processing is included inside that total. Approximately 2.9% + $0.30 of the total covers card processing, while the remainder supports the platform's storefront, orders, insights, and support.
The vendor chooses whether to pass the total transaction fee to the customer or absorb it from the vendor's earnings.
Customer covers the CrumbCoach fee
On a $30 listed order:
- Transaction fee: $2.05
- Customer pays: $32.05
- Vendor keeps: $30
Vendor absorbs the CrumbCoach fee
On the same $30 order:
- Customer pays: $30
- Vendor receives: $27.95
This pass-or-absorb setting changes who pays the fee; it does not remove the fee. Passing transaction fees can be subject to laws, card-network requirements, disclosures, and platform terms. Vendors remain responsible for verifying the rules for their transaction and location.
What the CrumbCoach fee includes
CrumbCoach connects Tap to Pay, product-based QR checkout, online storefront orders, invoices, food-product and cost context, customer records, selling-channel context, and Business Coach recommendations.
CrumbCoach costs more per transaction than basic card processors when the vendor absorbs its entire fee, but it includes a connected food-vendor workflow and allows the vendor to pass or absorb the total fee. It is a transaction platform for independent food vendors, not an EBT processor, SNAP authorization service, offline payment system, or farmers market management platform.
Square fees
Square Free's official U.S. pricing page publishes a standard rate of 2.6% + $0.15 for in-person tap, dip, or swipe transactions. It also lists:
- Square Free software: $0 per month per location
- Online transactions: 3.3% + $0.30
- Manual entry or card on file: 3.5% + $0.15
- Optional paid plans and hardware
Square supports Tap to Pay on compatible phones, which can remove the need for a separate reader for eligible contactless cards or digital wallets.
Square offline-payment considerations
Square supports offline payments on compatible, properly configured devices, subject to its limitations. Offline acceptance does not guarantee that a payment will clear. A transaction can be declined after reconnection, leaving the seller responsible for the loss.
Vendors should verify the compatible device, eligible payment method, offline time and transaction limits, reconnection requirements, and seller liability. Offline capability is not risk-free.
PayPal POS fees
PayPal's official U.S. POS pricing page publishes:
- Card-present payments: 2.29% + $0.09
- QR-code payments through PayPal POS: 2.29% + $0.09
- Manual card entry: 3.49% + $0.09
- PayPal invoice paid through PayPal: 3.49% + $0.49
- Invoice paid by card or an alternative method: 2.99% + $0.49
- No monthly POS software fee
PayPal advertises the first compatible card reader at $29 on its official hardware page. Hardware and other services can cost extra; verify current prices, delivery charges, requirements, and compatibility. A card-present rate does not apply to manual entry or invoicing.
Venmo Business fees
A Venmo business profile publishes different rates for direct payments and Tap to Pay, with no setup or monthly fee for these cited functions. A business profile is required.
Direct and QR payments
Venmo Business Profiles publishes 1.9% + $0.10 for qualifying direct and business-profile QR payments.
Venmo Tap to Pay
Venmo Tap to Pay publishes 2.9% + $0.09 for eligible vendors accepting contactless cards and digital wallets on a compatible device.
Do not confuse the Tap to Pay rate with the lower direct-payment rate, or with Venmo offered as an online checkout method. These are different payment types and can have different rates.
Venmo's operational tradeoff
Venmo is not necessarily a complete product-level POS. A direct $18 payment may not reliably record which products sold, quantity, inventory remaining, product cost, selling channel, or fulfillment status. Vendors should use a business profile and maintain appropriate product and sales records.
Shopify POS fees
Shopify POS Lite is included with an eligible paid Shopify commerce plan; it is not a free standalone payment service. As of August 20, 2026:
- Shopify Basic costs $29 per month when billed yearly, or $39 month-to-month
- Shopify's official 2026 POS cost guide lists Basic in-person processing at 2.6% + $0.10
- POS Pro costs an additional $89 per month per retail location
- Compatible hardware can cost extra
The $29 figure is an annual-billing price. A vendor should include the required plan cost when calculating the effective cost of using Shopify only for market sales.
Effective Shopify cost example
Assume a vendor pays $39 per month and processes 100 in-person transactions averaging $20:
100 × $0.62 = $62 processing fees
$62 + $39 = $101 payment and software cost
$101 ÷ $2,000 in sales = 5.05% effective cost
This example excludes hardware and optional services. As sales volume rises, the fixed subscription becomes a smaller percentage of revenue.
Are cash payments free?
Cash has no processor transaction fee, but it is not completely costless. Possible costs include starting change, a cash box or lock bag, counting and reconciliation time, bank deposit trips, theft or loss, counterfeit bills, recording mistakes, slower checkout, and missing product-level records.
Cash can be a customer option and connectivity backup. Vendors should still record cash sales in the same product and revenue records used for digital payments.
SNAP and EBT fees at farmers markets
SNAP/EBT is separate from ordinary debit or credit-card processing. A vendor or farmers market generally must be authorized to accept SNAP; owning a reader or downloading CrumbCoach, Square, PayPal, Venmo, or Shopify does not create SNAP authorization.
MarketLink states that its qualifying program provides:
- No per-transaction SNAP/EBT processing fees
- At least one year of TotilPay Go access
- Eligible Bluetooth equipment
- Technical assistance
- Possible free subscription extensions when conditions and grant funding allow
When a free subscription or extension does not apply, MarketLink publishes TotilPay Go pricing of $191.40 per year or $19.95 per month. Optional credit and debit processing have separate fees.
Vendors should verify SNAP authorization, eligible products, equipment-grant eligibility, current funding, subscription conditions, scrip or centralized procedures, required records, and restrictions on fees charged to SNAP customers. CrumbCoach does not currently claim to process SNAP/EBT.
Hidden-cost checklist
Before choosing a payment solution, check:
- Monthly software fees and annual billing commitments
- Card readers, terminals, replacement hardware, printers, and cash drawers
- Cellular data and instant-transfer fees
- Chargeback or dispute fees
- Refund policies and whether original processing fees are returned
- Manual-entry, online, invoice, and card-on-file rates
- Additional-location, employee, permission, or inventory fees
- Accounting integrations, contract terms, and cancellation terms
- Market stall fees, power, connectivity, handling time, and recordkeeping labor
A “free” POS usually means no monthly software charge for the base plan. Transaction fees and optional costs still apply. Instant payouts may cost extra, and original processing fees may not be refunded; check each provider's current terms.
Which solution is cheapest?
There is no universal cheapest farmers market payment solution. Based only on the published transaction rates here, cash has no direct processing fee, MarketLink publishes no per-transaction SNAP fee for qualifying transactions, Venmo Business has the lowest listed direct or QR rate, and PayPal POS has the lowest listed card-present rate among the dedicated card-payment options shown.
Square provides a $0-monthly-cost general-purpose POS with offline capability on compatible devices. Shopify may fit vendors already paying for Shopify ecommerce. CrumbCoach costs more when absorbed but includes food-specific selling and recommendation tools. The lowest percentage does not necessarily produce the lowest total operating cost.

How to calculate your monthly payment cost
Use:
Monthly processing cost = number of transactions × average fee per transaction
For a percentage-plus-fixed fee:
Monthly processing cost = transaction count × (average order value × percentage + fixed fee)
Example: 100 monthly transactions at a $20 average order
| Payment solution | Estimated transaction cost | Monthly subscription included | Estimated monthly total |
|---|---|---|---|
| CrumbCoach, vendor absorbs | $155 | $0 | $155 |
| Square Free | $67 | $0 | $67 |
| PayPal POS card-present | $54.80 | $0 | $54.80 |
| Venmo Business direct or QR | $48 | $0 | $48 |
| Venmo Tap to Pay | $67 | $0 | $67 |
| Shopify Basic POS, monthly plan | $62 | $39 | $101 |
These examples assume every transaction uses the listed payment type. Real businesses typically mix cash, contactless cards, online orders, invoices, and other methods. Hardware, refunds, disputes, taxes, transfers, and other expenses are excluded.
When a higher fee can still make sense
A higher-fee system can be worthwhile if it replaces paid tools or administrative work. Evaluate product-level transactions, online orders, invoices, customer-led checkout, inventory, recipe costs, customer history, pickup status, sales-channel reporting, recommendations, and bookkeeping exports. The recipe-costing and pricing calculator can help evaluate product costs.
Do not assign an imaginary dollar value to these features. Compare them with tools and labor the business actually uses.
Methodology
This comparison evaluates published U.S. pricing for farmers market payment methods as of August 20, 2026. Rates were taken from official provider pages for CrumbCoach, Square, PayPal POS, Venmo Business, Shopify POS, and MarketLink.
Transaction examples apply the published percentage and fixed fee, then round to the nearest cent. The analysis does not include every plan, promotional price, negotiated rate, hardware configuration, tax, chargeback, transfer, refund, or third-party integration.
CrumbCoach publishes this article and is one of the compared platforms. The comparison does not rank CrumbCoach as the lowest-fee option; it explains how its total fee differs from processing-only pricing. Readers should verify current pricing, terms, eligibility, device support, and applicable laws with each provider.
Frequently asked questions
What are the fees associated with different farmers market payment solutions?
Cash has no direct processing fee. Digital payment services commonly charge a percentage plus a fixed amount. Published examples include Square Free at 2.6% + $0.15, PayPal POS card-present at 2.29% + $0.09, Venmo Tap to Pay at 2.9% + $0.09, and CrumbCoach at 5% + $0.55 total per paid order.
How much does Square charge at a farmers market?
Square Free publishes a standard U.S. in-person rate of 2.6% + $0.15 for tap, dip, or swipe payments as of August 20, 2026. Hardware, paid plans, instant transfers, manual entry, online payments, and other services can cost extra.
How much does CrumbCoach charge?
CrumbCoach charges 5% + $0.55 total per paid order with no monthly subscription. Card processing is included inside the total. The vendor can pass the fee to the customer or absorb it.
Does CrumbCoach charge a separate card-processing fee?
No. CrumbCoach's published 5% + $0.55 is the total transaction fee. Card-processing costs are paid from that amount rather than charged separately.
Is Venmo free for farmers market vendors?
No. Venmo business profiles charge transaction fees. Venmo publishes 1.9% + $0.10 for direct and QR business-profile payments and 2.9% + $0.09 for Tap to Pay as of August 20, 2026.
Does accepting cash cost anything?
Cash has no processor fee, but vendors may incur costs from handling, change, reconciliation, deposits, mistakes, theft, and missing sales records.
Are SNAP transactions free for farmers market vendors?
MarketLink publishes no per-transaction SNAP/EBT processing fee for qualifying participants. Authorization, equipment, subscription, product, and program requirements still apply.
Can farmers market vendors charge customers a card fee?
The answer depends on the payment method, jurisdiction, card-network rules, required disclosures, and platform terms. Vendors should not add or pass fees without verifying the rules that apply to the transaction.
Which payment solution has the lowest fees?
The answer depends on the payment type and total setup. Venmo Business has the lowest listed direct or QR payment rate in this comparison, while PayPal POS has the lowest listed card-present rate. Cash has no direct processing fee, and qualifying MarketLink SNAP transactions have no per-transaction SNAP fee.
Compare the total cost, not only the percentage
Calculate cost using your average order value and transaction count. Add subscriptions, hardware, transfers, refunds, and other required tools. Then consider what the system records after payment. A low-cost payment that leaves a vendor manually reconstructing products, customers, costs, and orders may not produce the lowest-cost workflow.
